TERMS AND CONDITIONS
Last updated: 4 August 2026
These terms apply to appointments and services provided by Move Free Pontypool at 13 Broad Street, Abersychan, Pontypool, NP4 7BQ.
By booking an appointment, you agree to these terms.
Appointments and treatment
Your first chiropractic appointment includes a consultation, relevant physical assessment, an explanation of the findings and a discussion of suitable care options.
Treatment may be provided during the first appointment when clinically appropriate and with your consent.
Consent is ongoing. You may ask questions, decline a technique or withdraw consent at any time. Chiropractic treatment cannot begin without the patient’s permission, and fees should be agreed upon before care is provided.
Appointments are tailored to your individual needs. No specific result, recovery time or number of appointments can be guaranteed.
Fees and payment
Current appointment fees are displayed on the website and will be confirmed at the time of booking.
Payment is due at the appointment unless another arrangement has been agreed in advance.
Payment may be made by cash, card or bank transfer.
Any discounts or promotional offers must be agreed upon at the time of booking and cannot normally be applied retrospectively.
Cancellation and missed appointments
At least 24 hours’ notice is required to cancel or rearrange an appointment.
Appointments cancelled with less than 24 hours’ notice, or missed without notice, may be charged up to the full appointment fee when the time cannot reasonably be offered to another patient.
Cancellation charges must be reasonable and reflect the loss caused by the cancellation. A business cannot make a charge fair merely by including it in its terms.
Repeated late cancellations or missed appointments may require payment in advance before another appointment can be booked.
Please contact Move Free as soon as possible if an emergency prevents you from attending. Exceptional circumstances will be considered fairly.
Late arrival
Please arrive on time.
If you arrive late, the appointment may need to be shortened to avoid delaying the next patient. The full appointment fee will normally remain payable.
If there is insufficient time to assess or treat you safely, the appointment may need to be rearranged and treated as a late cancellation.
Changes to appointments
Move Free may occasionally need to rearrange an appointment due to illness, an emergency, or circumstances outside the clinic’s control.
Where this happens, you will be contacted as soon as reasonably possible and offered another appointment. You will not be charged for an appointment cancelled by Move Free.
Health information
You are responsible for providing information that is accurate and complete to the best of your knowledge.
Please tell the clinician about:
-
relevant medical conditions
-
medication
-
pregnancy
-
recent injuries, surgery or investigations
-
changes in symptoms or health
-
anything that may affect assessment or treatment
Treatment may be adapted, postponed or declined when it is not considered clinically appropriate. You may also be advised to contact your GP or another healthcare professional.
Clothing, privacy and dignity
You may be asked to adjust or remove clothing where necessary for assessment or treatment.
The reason will be explained first, and your consent will be obtained. Privacy will be provided, and you may decline or request an alternative approach. GCC guidance requires chiropractors to protect patient dignity and obtain consent where clothing needs to be adjusted or removed.
You may request a chaperone or bring someone with you, although their presence must not interfere with safe assessment or treatment.
Children and young people
A parent or person with parental responsibility should normally attend appointments for patients under 16.
Treatment will be provided only where appropriate consent has been obtained and the young person is comfortable proceeding.
Illness and infection control
Please contact the clinic before attending if you have symptoms of an infectious illness, including fever, vomiting, diarrhoea or a contagious skin condition.
Your appointment may be rearranged to protect other patients and clinic staff.
Professional boundaries and behaviour
Patients will be treated with dignity, courtesy and respect. The same standard of behaviour is expected in return.
An appointment may be stopped immediately in cases of:
-
threatening, abusive or discriminatory behaviour
-
harassment
-
sexual comments or misconduct
-
deliberate damage to clinic property
-
behaviour that places anyone’s safety at risk
Future treatment may be refused where professional boundaries or safety cannot be maintained.
Clinical records and confidentiality
Accurate clinical records will be maintained and stored securely.
Patient information will be kept confidential and will only be shared with consent, where necessary for care, where required by law or where disclosure is justified by a serious safety concern. GCC guidance requires that patient information be kept confidential and that consent be sought and recorded before any disclosure, subject to limited legal exceptions.
Adult chiropractic records are normally retained for at least eight years after the patient’s last appointment. Different retention periods apply to children’s records.
Further information is available in the Privacy Policy.
